Improve equipment reliability, accelerate issue resolution and give Maintenance Engineering and Manufacturing one shared operational view.

For pharmaceutical manufacturers, equipment reliability is critical to maintaining production continuity, reducing downtime and protecting product quality. Yet Maintenance and Engineering teams often manage large volumes of operational information across multiple systems, making it more challenging to capture knowledge, coordinate activities and continuously improve asset performance.

At Polpharma, Poland, one of Central Europe’s largest pharmaceutical manufacturers, maintaining consistency across Maintenance and Engineering operations became increasingly important as the organisation continued to grow. By partnering with EviView, Polpharma modernised key maintenance workflows, digitised critical engineering processes and created a connected operational environment that improves visibility, preserves institutional knowledge and supports continuous improvement across the site.

The operational challenge

Maintenance and Engineering teams generate valuable operational knowledge every day, from equipment failures and repairs to shutdown planning and continuous improvement. Making it accessible across teams is key to reliability and long-term operational excellence.

At Polpharma, established maintenance processes ran day-to-day operations well, but as the operations expanded, there was room to sharpen consistency, boost visibility, and connect information digitally. Maximo remained the central CMMS, but supporting detail lived across records, spreadsheets, and department files. A unified view would let teams analyse performance, collaborate, and access history far more easily.

Polpharma also wanted to capture the deep knowledge held by experienced maintenance staff by digitising repair history, engineering decisions, and records so this expertise outlives any one person.

The day-to-day reporting of equipment issues by Manufacturing to Maintenance needed a faster, more direct reporting route to cut admin and speed up response.

Annual shutdown planning presented another opportunity for improvement. Coordinating activities across multiple business units required significant planning, with schedules managed across spreadsheets and frequently updated as new work emerged. Creating a single digital planning environment would provide greater visibility throughout the shutdown lifecycle while making post-shutdown analysis significantly more efficient.

The solution

Working closely with Polpharma’s Maintenance and Engineering teams, EviView configured a connected digital workflow that complemented the existing Maximo environment while simplifying day-to-day operational processes.

Rather than replacing core maintenance systems, EviView brought together operational information from across Maintenance, Engineering and Manufacturing into a single Digital Daily Management platform, improving visibility while eliminating unnecessary duplication of effort.

The implementation was delivered collaboratively through detailed discovery workshops, iterative solution design and close engagement with subject matter experts, ensuring the final solution aligned with Polpharma’s operational requirements and existing maintenance processes.

By connecting operational reporting with maintenance activities, Polpharma created a digital record of every issue, repair and operational improvement, giving teams immediate visibility while building a valuable knowledge base for the future.

KEY CAPABILITIES

Digital Maintenance Reporting

Manufacturing operators can report equipment issues directly through EviView, allowing Maintenance teams to receive real-time notifications and respond more efficiently to production priorities.

Maintenance 4.0 Dashboard

Live dashboards provide Maintenance teams with greater visibility into equipment performance, outstanding issues and critical operational alerts, helping prioritise work and improve response times.

Integrated Asset Management

By connecting with Maximo, maintenance activities remain linked to the correct equipment records while reducing duplicate administration and improving operational visibility.

Digital Shutdown Planning

Engineering shutdowns are planned within one connected digital environment, replacing multiple spreadsheets with live schedules that improve coordination, visibility and progress tracking throughout every shutdown.

Preserving Institutional Knowledge

Every maintenance activity, repair and engineering decision is captured digitally, creating a searchable repository of operational knowledge that supports future troubleshooting, onboarding and continuous improvement.

Business Outcomes

By modernising Maintenance and Engineering workflows, Polpharma has created a more connected operational environment that supports both day-to-day maintenance activities and long-term operational excellence.

The implementation has enabled the organisation to:

Improve task visibility across Maintenance, Engineering and Manufacturing

Digitise maintenance knowledge and repair history

Strengthen collaboration across operational teams

Improve shutdown planning and execution

Create a searchable repository of engineering knowledge

Reduce manual administration and duplicated reporting

Establish a stronger foundation for reliability and continuous improvement

Perhaps most importantly, Polpharma has preserved valuable institutional knowledge that can now be accessed by future generations of engineers and maintenance personnel, ensuring expertise remains within the organisation while supporting more informed operational decisions.
